Eligibility

The majority of campaign or tactical work described in your entry must have been executed and measured between August 2014 and August 2015.

Deadlines

Early-bird entries are due by 5 p.m. on Friday, July 31, 2015. All entries, including supporting materials, are due by 5 p.m. on Friday, August 14, 2015. No entries will be accepted after August 14, 2015.

How to Enter

Entry forms may be purchased online via the Spotlight Awards Submission Portal. Entrants will need to create an account prior to the first purchase. Please note: Entry submissions are pre-paid.

All entries must include typewritten summaries in 11-point font or larger. For all “Tactics” entries and for “Programs and Campaigns” entries, a summary is required of no more than two pages. The entrant’s name and company/organization should appear on the upper left-hand corner of each page. The summary must serve as the first page(s) of your entry.

Please consider how entries are judged when preparing your two-page summaries.

• One method of payment may be submitted for multiple entries.
• Video entries must be labeled with the entry name. Audio entries must be submitted on USB drive or DVD and labeled with the entry name.
• Presentations or websites may be submitted on CD/thumb drive and include a printed copy of the contents — each labeled with the entry name.
• Entries and summaries of judges’ comments will be available for entrants to pick up at the Spotlight Awards ceremony in October. Entries that are not collected will not be returned.

What’s included in the online submission form?

Please have all of your materials prepared prior to completing this form. At this time, the Spotlight Awards Submissions Portal is unable to save entries for editing prior to completion.

• Spotlight award category
• Entry title
• Entry summary
• How supporting materials are being submitted (online only, mail or drop-off)
• Publicity and promotions
  • 100-word description of the entry
  • Primary image or graphic that represents entry (jpg, png, pdf, gif, eps)
  • Additional images, graphics or VIDEO that represent entry
  • Link(s) to YouTube video(s) affiliated with or representing the entry
  • Twitter handles and/or hashtags associated with entry
  • Should entry win, designate who will receive award at the ceremony (include pronunciation cues)
  • Whether entrant would be interested in speaking about the campaign or tactic at a future Chapter event, should that event win
• Trophy information
  • How entrant would like entry described on the trophy, should entry win
  • Whether entrant would like to pre-order additional trophies, and if so, what those entries should have inscribed

Supporting materials

Entry supporting materials may be submitted via the online submissions portal, a USB drive or a three-ring binder.

Summary and supporting materials should be organized in four categories:

• Summary
• Research and Planning
• Execution
• Evaluation and Results

Please note (if submitting supporting materials online): We do not have a file size limit for supporting material uploads; however, we request entrants choose smaller file sizes to make uploading and downloading easier for both entrants and judges. The exception? Video uploads. We would prefer high-res video for use in publicity and promotions efforts.

Supporting materials (binders and USB drives) will be accepted Monday through Friday between 8 a.m. and 6 p.m. and Saturday and Sunday between 10 a.m. and 5 p.m. until the final deadline at the Watertower Postal Annex, located at 5331 SW Macadam Avenue, Suite 258, in Portland. Free short-term parking is available in front of the building entrance. The Postal Annex will secure your packages during the collection period.

• Include two copies of the completed entry form
• Include summary and supporting materials
• Package in an envelope or box
• Hand deliver to a member of the Postal Annex team or mail your entry to:

If submitting a binder, no binders more than 12 inches long and 1 inch thick will be accepted (with a few entry categories being exceptions).

Rates

PayPal is the primary payment method for entries, but checks are still a viable payment method and should be made payable to “PRSA Portland Metro Chapter.” One check may be used for multiple entries. Please mail payment separately to the attention of Janet George, chapter administrator, at PRSA Portland, PMB #111, 5331 SW Macadam Ave., Suite 258, Portland, OR 97239. Unpaid entries will not be judged. Please ensure offline payment methods are received by the final deadline.

Entrants will be given an opportunity to pre-order additional trophies during the entry submission process. (Additional trophy requests will be fulfilled for winning entries only.)

• PRSA member: $70 per entry or three entries for $190
  (Member prices apply to members of any PRSA chapter in Oregon and Southwest Washington)
• Non-member: $85 per entry or three entries for $235
• Pro Bono Submission: $45 per entry
  (Unemployed PRSA members can submit an entry at the pro bono price)

Standard Rates
